Duties:

 

The incumbent provides supervision of three LE Staff receptionist/ telephone operators, carries out, and oversees the receptionist and telephone operator services provided to all agencies under the Chief of Mission.  The Embassy telephone operations consists of 700 extensions, 154 commercial lines, 20 IVG Lines, 84 VOIP lines. The supervisor is also responsible for ensuring the operators' overall training in their job responsibilities and performance requirements. This position is responsible for scheduling personnel on rotating shifts, including local and American Holidays. In the absence of the switchboard operator, operates the computerized telephone switchboard console to place and receive telephone calls for the Embassy and associated agencies as the local operator. The incumbent acts as the primary Time and Attendance Keeper for the entire Information Management (IM) section. Additional responsibilities include:  preparing, reviewing, and distributing the local PTT (Hondutel) telephone billings for all agencies' official lines as well as the entire Mission staffs' (American and LE Staff) residential (Personal) lines. It is also responsible for overseeing and maintaining the IPC's telephone work-order services and supervises the proper handling of basic Consular callers' inquiries. He/she ensures that all operators are well-versed in the handling of threat calls and identify and report any malfunction or outage of the switchboard equipment.  The incumbent takes the lead on other administrative and clerical duties and prepares and train LE staff to support these additional duties. 


EXPERIENCE:  Minimum two years of clerical experience is required. Minimum one year of supervisory experience is required.

Education: Completion of secondary school is required.

LANGUAGE: Good Working Knowledge Speaking/Reading/Writing in English is required. Good Working Knowledge Speaking/Reading/Writing in Spanish is required. (These may be tested)

SKILLS AND ABILITIES:Considerable tact, skill, and diplomacy is required in dealing with the public and managing staff and personnel issues. Typing and Computer skills are required. Must have ability to handle emergency situations professionally. (These may be tested)
