Local tree care company seeks reliable office assistant. Position requires day-to-day office administration, accounting and job-costing, answering the phone, scheduling appointments, and communicating with the tree crews.
Requirements:
Bilingual C1
1 Year of experience as office administrator
Ideal knowledge: G-Suite, Single Ops, Quickbooks, Dext, Hub Staff
Location: San Pedro Sula
Schedule: Monday to Friday, 11:30am -3:30pm
JOB ROLE & ACCOUNTABILITIES:
Duties will include but are not limited to:
1. Remind clients of upcoming visits via email
2. Perform job-costing items for all completed work orders
○ Make sure everyone is clocked in for each day
○ Record receipts into our accounting system
○ Record actual time worked against each job - attention to detail is a must
○ Verify & record the headcount daily
3. Assist with Invoicing
○ Prepare invoices based on completed & approved jobs
4. Assist with weekly payroll activities
○ Confirm weekly time reported
○ Run a weekly time report and format for team distribution
5. Run reports as requested for accounts receivable, sales, time entries
6. Communicate with customers / homeowners / subcontractors / vendors
7. Answer in coming calls from customers and schedule appointments
8. Monitor and organize office emails
9. Assist with scheduling jobs and job estimates
10. Assist with developing and improving strong Office Management processes where needed
11. Assist with updating company announcement board with occasional updates
